ASSOCIATED STUDENTS, INC., ADMINISTRATIVE SUPPORT COORDINATOR (Full-Time)
(This is not a State/University Position)
SUMMARY: Perform a variety of clerical, secretarial, and general support work which requires previous background and experience. This position reports directly to the ASI & SC Executive Director.

Work with, and mentor students, on a day-to-day basis to enhance students' lives
ESSENTIAL DUTIES & RESPONSIBILITIES:
Directly supervises the ASI Front Desk Student Assistant by selecting, training, facilitating meetings, and delegation of work.
Conducts performance evaluations, sets area goals, leads, and monitors work flow. Schedules student assistants and provides support during absences.
Processes requisition forms for ASI and SC.
Oversees, coordinates and maintains ASI and SC inventory property control records.
Compiles materials for ASI internal and external audits.
Administers and manages accounts and funding requests for Student Organizations. This includes conducting treasurer trainings, processing check requests, deposits, and student organization funding request as well as acting as the liaison with business and finance office and Student Leadership & Development.
Oversees ASI and SC Office supply inventory, order and distribute staff work apparel, and manage incoming mail and package distribution.
Verifies employee payroll data changes for ASI and SC.
Administers food orders through Chartwells on behalf of ASI and SC. This includes, obtaining quotes, placing orders, and distributing invoices.
Provides administrative support to the Executive Director including proofreading documents, drafting presentations, notetaking, along with scheduling appointments and managing their calendar.
Serves as the back-up to the SC Administrative Coordinator during absences.
Manages all job postings by creating, editing, adding or removing posting from recruiting platform/website.
Maintains the ASI and SC Alumni Listserv.
Manages schedule of the administrative suite meeting room reservations.
Manages organizational software accounts.
Other duties as assigned.
Bachelor's Degree Preferred
Demonstrated experience with staff supervision Preferred.
Two year of full-time experience in office administration (part-time service considered 2:1 ratio).
Working knowledge of payroll processes.
Demonstrated experience with staff supervision.
Ability to respond to inquiries as well as explain, interpret, and apply a variety of policies and procedures.
Ability to work independently with minimal supervision.
Advanced computer skills in MS Office.
English usage, spelling, grammar, and punctuation.
TYPICAL PHYSICAL REQUIREMENTS AND WORKING CONDITIONS:
Sit for extended periods; frequently stand and walk; normal manual dexterity and eye-hand coordination; lift and move objects weighing up to 20 lbs.; corrected hearing and vision to normal range; verbal communication; use of office equipment, including computer, telephone, copiers.
Work is performed in an office environment and throughout the campus areas during student programs; continuous contact with other staff, students, faculty, and the public.
Successful candidate must be fingerprinted and pass a background check.
