Administrative Assistant

Position Summary

The Academic Affairs Administrative Assistant works closely with the Vice President for Academic Affairs (VPAA), the Executive Assistant to the VPAA, and the Assistant Dean for Academic Affairs to support the office and the campus in all matters related to and housed in Academic Affairs such as shared governance committees. This includes collaboration with other offices and units on campus to support shared governance, grant and proposal approval processes, curricular development and assessment, and Academic Affairs communication with the campus. This is an in-person position requiring a minimum of four days in the office.

Responsibilities
  • Maintain and update committee membership lists and the appropriate internal sites. Schedule and calendar University and Academic Affairs meetings as needed including Dominican Research Collective, Sabbatical Committee, Fanjeaux Grant Selection Committee, Teacher of the Year Selection Committee, etc. Reserve rooms as needed and in some cases attend meetings and take minutes.
  • Support the Core Curriculum Director and Committee, including organizing materials and taking and distributing minutes.
  • Organize and support specific Dominican Experience initiatives and meetings. This may include doing research, prepping materials, ordering catering, scheduling and calendaring meetings, drafting agendas, taking and distributing minutes, especially related to the University's Scholarly and Creative Works Conference.
  • Monitor and document the process of proposed changes to the Faculty Handbook and other policies through shared governance. Once fully approved, edit the Faculty Handbook and other policies as necessary.
  • Collaborate with the Academic Affairs Office and units across the university to draft and distribute a monthly Academic Affairs Newsletter to share updates from the central academic realm.
  • Receive, organize, and distribute various grant applications, including student research grants, sabbatical proposals, Fanjeaux applications, and more.
  • Confirm and approve purchasing card statements for VPAA direct reports on behalf of the VPAA.
  • Process Academic Affairs check requests and invoices for payment by Business Services.
  • Maintain electronic copies of contracts signed by the VPAA.
  • Perform routine administrative support duties, including answering telephone and greeting office guests.
  • Order and maintain stock of office supplies.
  • Pick up department mail and distribute appropriately.
  • Maintain the highest level of discretion and confidentiality.
  • Perform other duties as assigned.


Required Qualifications
  • Bachelor's degree from four-year college or university or equivalent combination of education and experience.
  • Excellent writing and verbal communication skills.
  • Knowledge of higher education academic and operational areas.
  • Ability to work with a diverse array of constituents within Dominican.
  • Strong organizational skills with the ability to prioritize, manage multiple demands, and meet deadlines.
  • Ability to maintain a high level of accuracy and attention to detail.
  • Experience working with Microsoft Office and Google Suites, including advanced skill with Microsoft Word for editing and formatting documents.
  • Excellent interpersonal skills.
  • Ability to maintain a high level of confidentiality and discretion.
  • Ability to work independently and collaboratively.
  • Familiarity with campus processes, protocols, and procedures.
  • Ability to learn new processes with minimal supervision.


Preferred Qualifications
  • Master's degree.
  • Demonstrated knowledge of key issues, concepts, trends, and policies in higher education.
