Basic Function:
Under the direction of the Director of Admission and the Associate Dean for Student and Academic Affairs, the position is responsible for planning and executing admission processes and events, and coordinating housing for students. The Coordinator supports the Admission Office by overseeing the admission and residence life experience at Pacific Lutheran Theological Seminary (PLTS).


Representative Duties:
Implements the Admission Communication Plan. E

Utilizes admission CRM throughout all stages of the admission funnel while keeping records current. E

Manages database systems through all stages of the admission and housing processes. E

Creates admissions files; informs applicants of receipt of materials; circulates file for faculty review; prepares letters of admission (or denial) for the Director of Admissions; informs applicants of housing, financial aid, and orientation contacts. E

Plans and executes PLTS admission events, coordinates visits for prospective students, and supervises student employees. E

Coordinates virtual and in-person (when safe to do so) individual student visits to PLTS-GTU. This involves setting date(s) in conversation with the prospective visitor; coordination of transportation to and from the airport if needed; GTU and PLTS campus tours; class audits; individual appointments; meals and housing; other contingencies as they arise. E

Follows up with prospective students on admission, financial aid and housing inquiries. E

Develops and distributes weekly admission funnel reports. E

Prepares and delivers oral presentations. E

Travel to regional and national recruitment events. E

Coordinates with Director and Associate
Dean to plan admissions-related aspects of New Student Orientation events. E

Compiles and distributes reports as needed, including weekly student housing occupancy reports and census reports. E

Oversees all aspects of the student housing application, assignment, and billings process and maintains databases to ensure records are complete, accurate, and current. E

Performs other duties as assigned

Microsoft Office programs (including Word, Excel, Visio, PowerPoint and Outlook).
Operation of a variety of office equipment, such as computers and related software, printers, faxes and copy machines
Interpersonal skills using tact, patience and courtesy.

Communicate in a poised and professional manner with diverse individuals over the telephone, in written correspondence, and in person

Supervise student workers and housing managers including development and annual performance evaluations

Travel to regional and national recruitment events

Prepare and deliver oral presentations

Provide information regarding the seminary to prospective students and families

Operate in a fast-paced and collaborative environment, while having the flexibility to adhere to changing deadlines and priorities

Establish and maintain cooperative and effective working relationships with others

Complete assigned duties with accuracy, detail and thoroughness

Maintain confidentiality and handle confidential and sensitive information in an appropriate manner

Own and operate a vehicle

Exercise good judgment and maintain confidentiality in maintaining critical and sensitive information, records, and reports

Analyze, evaluate, and interpret information and data

Analyze situations accurately and adopt effective courses of action

Occasionally work on some evenings and weekends


Minimum Qualifications:
Any combination equivalent to: A Bachelors degree from an accredited college or university and two years of administrative support experience.


Preferred Qualifications:
Masters Degree and college campus related work experience


Licenses and Other Requirements:
Adjusted schedule to include weekend and evening hours

Some travel required
